Collection of Personal Details
Customised Financial Planning collects your details when you submit those details to us either online or by fax, post or email. These details are stored within our secure database system. The details collected may include your full name, address, phone and fax numbers and email address. We may also collect your payment details (including but not limited to credit card details).
Customised Financial Planning may provide your personal details and payment details to third party payment processing providers as required. All third party payment processing providers that we use are PCI compliant. Once personal details and payment details are supplied to third party payment processing providers, those details are stored in a secure file system under password protection, with access restricted to key personnel. Hard copy documentation is then destroyed.
Use of Personal Details
Customised Financial Planning will use your personal details to enable us to perform our role as a service provider. We may also use your personal details to contact you to discuss additional products and services that we offer. Your details could be used to measure and assess our customer service, and analyse customer purchasing preferences.
Third party service providers
Occasionally, we may supply your personal information to third parties to perform services on our behalf, such as the following: the distribution of marketing information to you (except where you have chosen to opt out of receiving this information from us); the supply of datacentre storage and maintenance services for our IT systems and infrastructure (by Australian or overseas providers); and the supply of credit related services such as credit worthiness, credit provision and credit rating, or bank related services; or the supply of billing and payment services.
Our relationships with such third party service providers are governed by our contracts with them. Those service providers are required to hold your personal information strictly confidential.
Use of Artificial Intelligence
As part of our commitment to delivering efficient and high-quality services, we may use artificial intelligence (AI) tools to assist in recording, transcribing, and summarising client meetings (including telephone, video, or in-person consultations).
These tools may capture and process personal information you share with us, such as your name, financial circumstances, and goals.
We use AI tools only for the purpose of:
- Accurately documenting advice discussions or service meetings
- Ensuring we meet our regulatory obligations (such as record-keeping)
- Enhancing the quality and consistency of the services we provide
We ensure that any AI tools or platforms we use:
- Comply with Australian privacy and data security standards
- Are subject to strict access controls and confidentiality obligations
- Do not use your personal information for unrelated or commercial purposes
If an AI service provider is located outside Australia, we will take reasonable steps to ensure that the provider complies with privacy obligations equivalent to those under the Privacy Act 1988 (Cth) (in accordance with APP 8 – Cross-border disclosure).
You may request access to, or deletion of, meeting notes that have been recorded or transcribed using AI by contacting us at the details provided in this policy.
Use of Overseas Service Providers
In order to provide our services efficiently, we may disclose personal information to third-party service providers located outside Australia. These providers support our business functions such as:
- Administrative support
- IT and cloud-based systems (including email, file storage, and data processing)
- Artificial intelligence (AI) or transcription tools
- Customer service and software development
Where we do so, we take reasonable steps to ensure that those overseas recipients do not breach the Australian Privacy Principles (APPs) in relation to your personal information. We currently engage service providers in the following country:

These providers are contractually required to maintain the confidentiality and security of your personal information and to use it only for the purposes for which it was disclosed. We do not sell or share personal information with overseas parties for marketing purposes. All overseas disclosures are made solely to help us deliver our services and meet our legal and compliance obligations.

Accuracy and Transparency
You may access and update the personal information at any time by contacting us. If you believe that we may hold other personal information about you which is inaccurate, please contact us and we will take reasonable steps to ensure that it is corrected.
Analytics, Internet Marketing and ‘Cookies’
Customised Financial Planning uses Google webmaster tools, Google Analytics, and Search Engine marketing such as Google Adwords. These services place and read a cookie in your internet browsers, and may use web beacons to collect this information for our use (if your internet browser security settings are configured to allow it). These cookies do not identify anything about you personally, but do allow us to track generic information about your use of our website, such as which pages you visit, and how long you visit them for.
These cookies may also track your activity on our site after you have clicked on a search engine advertisement, and they may also serve you ads based on your prior visit to our website when you visit other websites. You can learn more about the Google cookies and opt out of these at the Google Privacy centre, and there is an internet industry group which runs the Network Advertising Initiative, which allows you to opt out of a range of network advertising beyond what we use here at Customised Financial Planning.
Changes
Customised Financial Planning may make changes to its privacy policy, and will publish it here. We will not circulate it other than at this link on our website, and it is your responsibility to check the policy for up-dates.
